Our client is a French Company, one of the world’s leaders in progressive cavity pumps, with offices all over the world.
To sustain its development in Russia and CIS, our client has opened a branch office in Russia, with head office in Saint Petersburg and now looks for an Administration and Office Assistant.
Tasks
Reception Services: Manages the reception area
Answers incoming phone calls / Screens, direct calls and responds to inquiries
Opens, sorts, and distributes incoming correspondence
Signs for and distributes UPS/Fed Ex/Airborne packages
Receives and directs visitors / Issues visitor passes
Performs general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing / Manage files
Keeps the lobby area tidy
Office Support: Assists in the day-to-day tasks
Schedules and coordinates meetings, events, or similar activities
Runs company’s errands when needed
Coordinates travel arrangements for employees and management
Sets up accommodation arrangements for company visitors
Researches, prices, and purchases office supplies
Assists in resolving any administrative problems
Provides and circulates information within the office
Interaction with other departments: Brings assistance to other departments
Assists with work overflow other departments (Food, Industry, Oil and Gas) as appropriate
Provides administrative assistance for on-boarding of new employees and follows up on technical issues
Assists in the processing of conference registrations, preparation of packets, badges
Office Administration: Ensure that operations are maintained in an efficient and effective manner
Coordinates maintenance and repairs of office equipment
Coordinates maintenance and repairs of facility
Researches, prices, and purchases office furniture
Ensures that safety and business procedures are followed by employees and visitors
Marketing support
Manage translation tasks with the support of the team
Helps if needed in the preparation of commercial presentations, documents for marketing purpose
Manages issues related to exhibition organization with the support of the team
Profile
Higher education
Knowledge and/or understanding of office administration
Responsible, Rigorous, accurate, detail oriented
Team spirit and able to work in a small company (5 people) and within an International environment
Native Russian speaker, English fluent, French as a plus
Possible trips in Russia and abroad for booths, events or potential trainings.
Will report to the General Director
